The onboarding tracker

The super-admin view of every workspace against the four milestones that define onboarded - and why a milestone can show a date and still not be true today, why a business with nothing to import is never shown as stuck on importing, and why a blank on this screen is never the same as a zero.

The onboarding tracker is a super-admin screen. It puts every workspace against the four milestones that define onboarded - opening balances reconciled, a first invoice, a first bank reconciliation, and past data imported if there was any to import - and shows what each workspace is waiting on, what is still open, and when it last did anything.

It changes nothing. There is no button on it that nudges a customer or reopens an import; those belong to the stall nudges and to the customer's own imports inbox. This screen exists to tell you which conversation to have.

The fourteen days

A workspace is onboarded when every milestone that applies to it has been reached, and the measure Finocket holds itself to is that this happens within fourteen days of the workspace being created. A workspace past that mark with work outstanding is shown as Past 14 days; one inside it that has not done anything for seven days - half the window - is shown as Stalled.

Why a date and a tick can disagree

This is the part worth reading twice, because the screen deliberately shows two facts that are both true.

The date on a milestone comes from the moment it was recorded. That record is never withdrawn, because reaching a milestone is a fact about the past and a later change does not undo it.

The tick comes from re-reading the books at the moment you open the screen. Three of the four milestones can go backwards: a matched bank line can be un-matched, an import can be undone, and an opening balance can be edited until it no longer balances.

When the record says a milestone was reached and the books say it is no longer true, the milestone is marked credited, undone. That is not an error and not a bad number - it means the customer reversed something after the fact, which is usually worth a call. A single green tick would have hidden it, and a blank would have denied the milestone ever happened.

A workspace with nothing to import is not stuck

“Past data imported” only applies to a workspace that has past data. A business that started on Finocket from scratch has nothing to bring across, so that milestone is marked does not apply, it is never counted against them, and they are never shown as stuck on an import they never needed. The workspace detail says which milestones were not asked of it, so an onboarded verdict always tells you what it was judged on.

The evidence for “if any” is whether an import was ever started, because nothing in the product records “I am starting fresh” as a declaration. A business that has old books and never begins importing them therefore reads as having nothing to import.

Blank, zero, and “could not be read”

Every number on this screen is either a real number or a named reason there is no number. That distinction is deliberate: a count of zero and a query that failed look identical unless something insists they do not, and the reassuring one is the one a reader assumes.

  • Could not be read on a milestone means the signal behind it was unreadable. The workspace gets no verdict in either direction - it is not called onboarded, and it is not called stuck.
  • Open jobs: the imports table is not in this database yet means exactly that. The imports inbox has shipped but its database change has not been applied, so no workspace can have an import job at all. A zero there would have told you nothing is waiting anywhere.
  • Last activity: could not be read is separate from none recorded. Only the second one means the workspace has been quiet.

Vertical and source

The vertical is read fresh each time from the owner's stated industry, so correcting it on their profile corrects it here. The source is read from the past: a partner credited with the workspace, otherwise whatever was recorded when the first milestone landed. Where a workspace came from cannot change, so re-deriving it would be re-deriving history.

Today that recorded source is usually just the app itself. Campaign and referrer detail is captured before anyone signs in, against an anonymous visitor, and Finocket does not guess at joining that to a person - so the screen says what it actually knows and names where it got it.
