Most of an Indian small business's paperwork arrives by email: supplier bills, payment receipts, bank alerts. The Finance inbox gathers what Finocket finds in the mailboxes you choose, shows the evidence, and waits for you. It only reads. It never sends, moves, labels or deletes anything in your mailbox.
Choose the mailboxes
Owners and admins open Integrations → Finance mailboxes. Get a forwarding address and forward your bills and alerts to it. For each mailbox you can turn reading on or off, pick the folders (Spam, Junk and Trash are always skipped), choose the date to read from, set the default company and add routing rules. Rules are checked in order and the first match wins; anything that matches nothing goes to the default company. The company pickers on this screen are searchable: type a few letters to find a workspace instead of scrolling a long list.
To read a mailbox directly instead, choose Connect a mailbox, pick Gmail, Zoho Mail, Fastmail or another IMAP provider, and enter the address and an app password. Gmail needs 2-Step Verification turned on first, then an app password made for Finocket; your normal password will not work. Finocket checks the sign-in once, keeps the app password only in encrypted form and never shows it again. Outlook and Microsoft 365 cannot use app passwords, so use the forwarding address for those. If the connection fails, the message says whether the mail server refused the sign-in, could not be reached, or your plan's mailbox limit was reached. Remove a mailbox at any time and its saved connection is deleted.
Each mailbox shows its health: healthy, waiting for its first read, retrying after an error, or sign-in failed. Your plan sets how many mailboxes you can connect: Growth includes 1 mailbox, Business 3 and Suite 5 (a forwarding address counts as one). Solo and Starter do not include Mail Intake.
Forward mail to your address
A forwarding address looks like mi-…@in.finocket.com and belongs to one mailbox entry. Mail sent to it is kept for review. To have a sender's attachments read for you, add a rule that allows that sender; with no rule, the mail waits in the Finance inbox and nothing is read from it. Keep the address private: anyone who has it can send to it. Each address accepts up to 100 forwarded messages a day; past that, further mail to it is refused until the next day, so a looping forward cannot flood your inbox.
Gmail: forward with a filter
- In Gmail, choose the gear icon, then See all settings, then the Forwarding and POP/IMAP tab, then Add a forwarding address, and paste your Finocket address.
- Gmail emails a confirmation code to that address. Open Finance mailboxes: when your administrator has switched on sender verification for forwarded mail, the code is shown on the address for 24 hours. Type it into Gmail. If no code appears, use the link in Gmail's own confirmation message instead. Finocket never opens Gmail's confirmation link for you.
- Then open Filters and Blocked Addresses → Create a new filter, describe the mail to forward (for example, from your bank, or with words like “invoice”), choose Forward it to your Finocket address, and save.
Outlook and Microsoft 365: forward with an inbox rule
- In Outlook, choose the gear icon, then Mail, then Rules, then Add new rule.
- Choose the condition (for example, From your bank, or Subject includes “invoice”), then the action Forward to and enter your Finocket address. Save the rule.
- If forwarding is blocked, your administrator may need to allow external forwarding for your account.
Attachments up to 35 MB in total per email are accepted; larger ones are recorded as skipped. A forwarding address counts as one mailbox on your plan.
Work the inbox
Open Inbox → Finance inbox. Items are grouped:
- Needs you. Each card shows the sender, how far the sender can be trusted, the attachment, what was read and how sure the read was.
- Auto-applied. Only if you switch automatic handling on for verified bank, card and UPI alerts (see below). Nothing else is confirmed on its own.
- Skipped. With the reason for each: too large, locked, sender not trusted, duplicate, or not finance mail.
- Done. What you confirmed or rejected. A rejection can be restored.
- From alerts. Bank, card and UPI alert e-mails, listed apart from the queue (see below).
What you can do with a card
- Confirm records a supplier bill. It uses the same supplier-bill path as the rest of Finocket, and confirming the same mail twice never creates two bills.
- Edit and confirm lets you correct the supplier, the date or the invoice number first.
- Reject sets it aside. Restore brings it back.
- Always ignore this sender and Route this sender to a company make a rule for that address. Owners and admins only.
Only supplier bills can be confirmed from here today. Other kinds of mail are marked review only and say so on the card. If the figures on a bill do not add up, it is also review only rather than guessed at.
Confirm from an AI assistant
If you have connected an AI assistant to Finocket, it can confirm a bill from the Finance inbox for you, and it is built to ask you first. It begins by asking for a preview: the supplier, date, invoice number, taxable value, GST and total, without the email's own text. It shows you that preview and, if you say yes, asks Finocket to post the bill. Its request carries a fingerprint of the preview, so Finocket refuses a confirm for a bill that changed in between or one sent with no preview, and the assistant has to start again. The fingerprint does not prove that you said yes: asking you first is the assistant's own step, so keep that step switched on in your assistant. Posting is the same Confirm as on the card: it needs edit access to that company, it is written to the activity log as made by an assistant, and confirming the same email twice never posts a second bill.
Who can do what
Owners, admins and assistants can confirm and reject. Accountants and other read-only roles can see the inbox but not act on it.
What happens without you
Nothing, unless you say so. Every kind of document is suggest-only to begin with. On Settings → Mail Intake you can let verified bank, card and UPI alerts be handled automatically. No other kind of document can be automatic.
Locked PDFs
Bank statements and some other documents arrive password-protected. If you save the password on the same screen, Finocket tries it on its own; you enter it once. It is stored encrypted, you cannot read it back, and it is only tried a handful of times, never guessed.
Bank alerts before the statement arrives
A verified bank, card or UPI alert e-mail shows up under From alerts as soon as it is read, with its date, amount and the account it belongs to. These lines are provisional: they are listed on their own with their own total per account, and they are never counted in a balance. When the real statement for that account arrives, each alert is replaced by its statement line, so nothing is counted twice. The reference number in the alert is not shown here. If the list cannot be loaded you see an error with a retry, never an empty list.
A bank statement marked Held
A bank or card statement adds transactions to your books, so Finocket only imports one by itself when it can tell who really sent it. Mail read from an ordinary mailbox carries no proof of that, so such a statement waits in the Finance inbox marked Held. Nothing has been added yet. If you know the statement is genuine, choose Import this statement and confirm. Finocket reads it the way it reads any statement, adds the new transactions to your bank statements once, and skips any you already have, so pressing it twice never doubles anything. If two people import the same statement at the same moment, only one import runs; the other is told it is already being imported and can refresh a moment later. A locked PDF asks for its password first. If one file in the mail cannot be read, the statement stays here so you can try that file again. Importing overrides the sender check, so only owners and admins can do it; everyone else can see the statement and ask one of them to.
The daily digest
You get one notification a day in the app and one on your WhatsApp: how many finance emails were kept, how many need you, and how many were handled automatically. On a quiet day you get nothing. If a mailbox stops signing in you are told once so you can reconnect it. You can switch the digest off, or just the WhatsApp copy, on the settings screen.
How long mail is kept, and disconnecting
- Items you have not confirmed are deleted after 90 days, with their attachments. You can change this between 7 and 365 days.
- Documents you confirmed stay with your books for as long as your books are kept.
- Disconnecting a mailbox deletes its unconfirmed items straight away.
- Asking for your data to be erased removes what Mail Intake holds too.
Which model reads unclear mail
Most mail is recognised without any model. For the unclear rest you choose: Sarvam, hosted in India, or your own AI key. Your mail is never used to train a model. Reading a document counts towards the same scan allowance as scanning a bill by hand - there is no separate meter. If the model cannot decide, the allowance is used up or there is no key to use, the mail simply waits in Needs review for you. The text of an email is only ever read as content to label: it cannot give the model instructions, and if nothing readable is left once it has been cleaned, the mail stays in Needs review instead of being sent.
