Booking links and Google Calendar

Share a link where clients pick a free time with you. Every booking becomes a lead on your timeline, and with Google Calendar connected it appears on your calendar, moves when it moves and disappears when it is cancelled.

A booking link is a page you share, on WhatsApp, your website or an email signature, where clients pick a free time with you. Create one under Settings → Booking links. Every booking becomes a lead (or matches an existing contact), lands in your pipeline and shows on the client's timeline.

Set up a link

Give the link a title, choose how long a meeting lasts, and pick your working days and hours. Times are shown to clients in your timezone. Two links never double-book you: a time taken on one link is taken on all of them.

Add a meeting link if you meet online. Paste your Zoom, Google Meet or Teams room and it goes on every calendar invite from that booking link. It must start with https://.

Put bookings on your Google Calendar

Press Connect Google Calendar on the Booking links screen and allow calendar access. From then on:

  • every new booking appears on that calendar within seconds, with the client's name, phone, note and your meeting link;
  • a booking that moves to another time moves on the calendar too;
  • a cancelled booking disappears from the calendar;
  • a client who gave an email when booking is added as a guest, so Google sends them the invite and the reminder.

Bookings you already had for the coming days are added as soon as you connect. Only the workspace owner can connect, because booking links belong to the owner.

Finocket asks Google only for permission to add and change calendar events. It cannot read your email or change your calendar settings. Press Disconnect at any time to stop and withdraw the permission.

If something goes wrong

If Google stops accepting Finocket, for example because you removed its access from your Google account or changed your password, the Booking links screen shows the reason and a Reconnect Google Calendar button. Bookings keep working while it is disconnected, and the ones made in the meantime are added once you reconnect.

Clinics: today's queue and walk-in tokens

When the clinics pack is switched on for your workspace, the Booking links screen also shows Today's queue: everyone booked for today and every walk-in patient, in the order they are due.

  • For a patient who walks in, type their name and, if they give one, their phone, then press Issue token. They get the next token number for today. Numbers start again at 1 each day, and two people at the desk pressing at the same moment never get the same number.
  • Press Call next to call in the first walk-in who is waiting, or use Call in, Done, No show and Back to waiting on each row. A patient marked done stays done.
  • The queue shows the patient's name and only the last four digits of their phone. It never asks for or shows why the patient came.
  • The workspace owner and team members who can edit can issue tokens and move them. Team members with view-only access see the queue but cannot change it.

If the queue says walk-in tokens are not available yet, your booked patients still show; walk-in tokens appear once the feature has been installed for your workspace.

Clinics: payer short payments

With the clinics pack on, the Booking links screen also has a Payer short payments section. When an insurer, TPA or employer pays less than the bill, choose the invoice, pick a reason (tariff difference, item not payable, co-payment, policy limit, documents pending or other) and enter the amount short. The totals by reason appear below the form.

  • The reasons describe the payer's decision about the bill. There is no free-text box, so nothing about the patient's condition is typed in.
  • An entry cannot be edited; add a new one to correct it.
  • The workspace owner and team members given the records module's write access can record these. Others see the screen but are refused.

If the section says it is not set up yet, it switches on once the clinic tables have been installed for your workspace; it never shows an empty list in place of that.

Above the form, the same section lists each insurer, TPA or employer you have billed: settled bills, open bills and the typical days from bill date to the payment that covers the bill. A payer with nothing settled yet shows Not settled yet, not zero days. Only business clients are listed, never patients.

Clinics: registrations and licences

With the clinics pack on, the Booking links screen also has a Registrations and licences section. Tap Set up reminders to add the record types a clinic usually keeps: clinic establishment registration, biomedical waste authorisation, the biomedical waste annual report reminder and fire NOC. Tick the PCPNDT box only if your centre must register under that Act.

  • Open Records and enter each registration's end date; the daily expiry reminder does the rest.
  • The names are starting points. Check the exact name of each registration with your state authority.
  • This sets up reminders only. It does not file anything and does not say you are registered.

How do bookings get onto my Google Calendar?

Connect Google Calendar once on the Booking links screen. Every new booking then appears on that calendar within seconds, moves when the booking moves and disappears when it is cancelled. Bookings already made for the coming days are added as soon as you connect.

Does the client get a calendar invite?

Yes, when they gave an email while booking. They are added as a guest on the event, so Google sends them the invite and the reminder, with your meeting link. Without an email the event is on your calendar only.

What can Finocket see in my Google account?

Only what it needs to add and change calendar events. It cannot read your email or change your calendar settings, and Disconnect withdraws the permission at Google as well.

Why does it ask me to reconnect?

Google stopped accepting Finocket, usually because access was removed from your Google account or your password changed. Bookings keep working; press Reconnect and the ones made in the meantime are added.

How do I give a walk-in patient a token?

With the clinics pack on, Today's queue on the Booking links screen has a walk-in form. Type the patient's name and, optionally, their phone, and press Issue token. They get today's next number and join the queue beside your booked patients. When the doctor is done, press Done and then Bill: a new invoice opens already on that patient if exactly one client has the same phone number, otherwise it opens blank and you pick the patient.

How do I record that an insurer or employer paid a bill short?
