How a working day runs, step by step.

Invoice and get paid on WhatsApp

A GST invoice with a UPI QR, sent where your client already talks to you.

  1. Create a services invoice in rupees
  2. With your UPI ID saved, a UPI pay-now QR prints on it
  3. Share it to the client on WhatsApp
  4. Record the payment when it lands

A client abroad

Bill in the client's currency with the rate saved on the invoice; whether it counts as an export is for you and your CA.

  1. Pick the client's currency, say USD for a client in Austin
  2. Check the exchange rate shown, or type the one your bank quoted
  3. The rate is saved on the invoice when you issue it
  4. On an export invoice under LUT, your LUT number prints
  5. Record the payment in the invoice's currency; the day's rate converts it to rupees

The client paid less because of TDS

Record the deduction so the invoice closes and the year's total adds up.

  1. Mark the client as one who deducts TDS
  2. Record the full invoice amount as received
  3. Add the TDS the client deducted on the same payment
  4. See the year's TDS total in the TDS summary
  5. Check that total against your annual tax statement with your CA

Estimate first, invoice after

Agree the scope before you start, then bill without retyping.

  1. Send an estimate as a link
  2. The client accepts it online by typing their name
  3. Convert the accepted estimate to an invoice
  4. Email reminders go out if the invoice goes overdue

Expenses without a shoebox

Snap a receipt and the expense form fills in; check the date and save to file it against the right month.

  1. Photograph the receipt on the add-expense screen
  2. Check the details read from it
  3. Save the expense
  4. It appears in your reports and the CA export

Year-end with your CA

Hand over books your CA can read instead of a folder of PDFs.

  1. Download the Hand to CA zip, with Tally XML of your books
  2. Open the ITR working sheet: a summary for your CA, not a return
  3. Presumptive income under 44ADA is not computed; your CA works it out
  4. From Starter, invite your CA with the read-only accountant role

Chase an overdue invoice

Reminders go out on the days you choose, with a late fee mentioned if you set one.

  1. Choose the reminder days around the due date in invoice settings
  2. Add a late fee if you want one, flat or a percent a month
  3. Clients with an email get each reminder with their portal link
  4. The reminder mentions the late fee you set
  5. From Outstanding, send a WhatsApp reminder with the same link

One link for all of a client's invoices

A client portal where the client sees what is open, pays by UPI and downloads a statement.

  1. Open the client's ledger and share their portal link
  2. The client sees open invoices and recent payments
  3. Open rupee invoices show a UPI pay-now QR when your UPI ID is saved
  4. They accept or decline a waiting estimate there
  5. They download a statement of account for any period

A monthly retainer client (Starter)

From Starter, a recurring rule drafts each month's invoice for you to review and send.

  1. Create a recurring invoice rule for the client
  2. Choose monthly and the date of the next run
  3. Each run drafts that month's invoice
  4. Lines carry the billing period they cover
  5. Review the draft and send it

Bill your hours from the timer (Starter)

From Starter, billable time becomes invoice lines, so the hours you worked are the hours you bill.

  1. Start the timer against a client or project
  2. Keep billable on for client work
  3. Unbilled time collects by client on the Timer screen
  4. Pick the entries and set your hourly rate
  5. A draft invoice is made, and those entries leave unbilled time
