Use cases

How a working day runs, step by step.

A corporate retainer, month after month

Agree a fixed monthly fee, bill it on schedule and record receipts net of TDS.

  1. Send the client a fixed-fee estimate
  2. Set a monthly recurring fee note for the agreed fee
  3. A draft fee note is ready each month for you to review and send
  4. Record the payment net of the TDS the client deducted

Hourly advisory billed from time

Time logged against a client becomes fee note lines.

  1. Log time per client with the timer
  2. Convert unbilled time into fee note lines
  3. Review the fee note and send it
  4. The time entries are marked as billed against that fee note
  5. Record the payment when it arrives

A litigation matter on a project

Keep a matter's time on one project, with the court and case number on each fee note.

  1. Open a project for the matter under the client
  2. Log time against the project with the timer
  3. Turn that time into a fee note, which is filed on the same project
  4. Type the matter reference, court or forum and case number on the fee note
  5. Track what the client has paid

Year-end hand-off to the CA

Give your CA what they need without emailing files back and forth.

  1. Check the TDS your clients deducted, by client and section
  2. Invite your CA with a read-only seat
  3. Download the hand-to-CA bundle for the year
  4. It holds fee note PDFs, client statements, the day book and the outstanding list
  5. Your CA reviews the books and reports without changing them

A reminder for an overdue fee

Email an existing client about an unpaid fee note, with late fees left off.

  1. Choose the reminder days before and after the due date in invoice settings
  2. Leave the late fee off, which is the default
  3. A reminder email goes out on those days while the fee note is unpaid
  4. An address that bounced or complained is not emailed
  5. Once you record the receipt, no further reminders go out

A firm with a clerk entering receipts

Let a clerk record receipts while deleting entries stays with the owner.

  1. Invite the clerk to the team as an assistant
  2. An assistant can add and edit entries, fee notes included
  3. Deleting records stays with the owner, which is the default
  4. The clerk records each receipt net of any TDS the client deducted
  5. A partner reviews the receipts in the books

Billing a matter in stages

Bill an accepted estimate in parts as the work moves, never past the agreed total.

  1. Send the client an estimate for the agreed fee
  2. The client accepts it on a private link by typing their name
  3. Raise a fee note against the estimate for part of it or for a fixed amount
  4. Describe the stage of work on the line, such as drafting or filing
  5. Each new part shows what is left to bill, and billing past the total is blocked

Clients see their fee notes on a private link

Share one link where a client sees what they owe and what they have paid.

  1. Create the client's private link from their ledger
  2. Share it on WhatsApp from your own number
  3. The client sees open fee notes, recent payments and the balance due
  4. When your UPI ID is set, open fee notes show a UPI pay-now link
  5. Record the payment when it reaches your bank

Matching client receipts with the bank

Fees that land in the bank are matched to the receipts you recorded.

  1. Import the bank statement as a spreadsheet or PDF
  2. Review the suggested match for each credit
  3. Accept the matches that are right
  4. See which statement lines have no match yet
