How a working day runs, step by step.

Turn a retailer's order into a bill

An order taken at the shop becomes a GST invoice, ready to load and send.

  1. Pick the retailer on a new sales order; each line takes the rate from their price list
  2. Convert the order to an invoice when the goods are loaded
  3. For a consignment that needs one, download the e-way bill JSON with the distance and vehicle number for the portal
  4. Share the invoice on WhatsApp as a link to its PDF

Collect dues before the next order

See who owes what before you load the van again, and chase it from the same screen.

  1. Open Outstanding to see dues by age, current to overdue
  2. Open a retailer to see each unpaid bill and how many days it is overdue
  3. Tap the WhatsApp button on a bill; the message names the bill, the amount and the due date, and you send it
  4. Record the cash, UPI or cheque receipt against one bill, or split it across several

Keep post-dated cheques in one register

Retailers hand over cheques dated next week; the register shows what is still to clear.

  1. Record the payment in Cheque mode and mark it post-dated, with the cheque date
  2. The receipt is booked on the cheque date, not the day you were handed it
  3. Open the cheque register to see every cheque, soonest due first, and the total still to clear
  4. Mark each cheque deposited, then cleared or bounced

See when a retailer is over their limit

Set how much credit a shop gets; the invoice tells you when a bill goes past it.

  1. Set a credit limit on the retailer's account
  2. Start an invoice for them as usual
  3. The invoice shows how far this bill takes them over the limit
  4. Decide whether to save it; Finocket warns but does not stop the sale

Give a retailer a different rate

Price modern trade and wholesalers differently from kirana stores.

  1. Create a price list for each type of outlet, with a rate per SKU
  2. Add quantity-break rules to a list, by item or category, and by pricing tier if you use tiers
  3. Pick the price list, and the pricing tier, on the retailer's account
  4. Bill or take an order as usual; each line takes the rate from the retailer's list

Run several principals from one company

Keep every brand you carry in one set of books instead of one file per principal. Sales reports are not yet split by principal.

  1. Mark each principal as a supplier
  2. Add a Principal field to your items and fill it in on each SKU
  3. Raise purchase orders and record bills against each principal
  4. Read purchase spend by supplier in Sales analysis
  5. See what you owe each principal on the Suppliers screen

Check a principal's delivery against the order

When the truck arrives, match what you ordered, what came and what you were billed.

  1. Raise a purchase order on the principal
  2. Record what was received against each order line; the stock goes into inventory
  3. Photograph the principal's bill from the match screen, check each line, and save it against the order
  4. Open the 3-way match to see ordered, received and billed quantities side by side
  5. Short receipts, over-billing and rate differences are flagged on the match

Keep near-expiry stock in sight

Food and personal-care stock carries a batch and an expiry; see what is close to the date while you can still move it.

  1. Add a batch with its number and expiry when stock arrives
  2. Record the received quantity against that batch
  3. Bill as usual; each invoice line is tagged to the in-stock batch that expires first
  4. Inventory lists the batches close to expiry, or already past it, with the quantity left

Credit a retailer for goods that came back

Unsold or damaged goods come back on the van; a credit note against the original bill records the return.

  1. Open the original invoice and raise a credit note from it
  2. Edit the draft to the quantities that came back, then save it
  3. Returned goods on stock-tracked items go back into stock
  4. Apply the credit against the retailer's open invoices

Hand the month to your CA

Your CA works from the records you bill and buy from.

  1. Invite your CA with the accountant role
  2. Import the month's GSTR-2B and match it against the bills you recorded
  3. Open GST returns to see GSTR-1 and GSTR-3B figures built from your invoices and bills
  4. Download the hand-to-CA bundle, or Tally XML if your CA works in Tally
