How a working day runs, step by step.

Billing a prescription at the counter

A customer brings a prescription for three medicines, and you bill them at the till. With the pharmacy setup applied, each line can carry its batch and expiry.

  1. Scan each medicine's barcode at the till, or search for it by name
  2. Open a line's details to type the batch and expiry printed on the strip
  3. Leave the batch blank and the earliest-expiring batch with stock is attached to the line for your stock records
  4. Take cash, UPI or card, or split the bill across them
  5. Print the receipt; the invoice PDF, in the pharmacy layout, carries the batch and expiry you typed

Selling a Schedule H1 medicine

The till asks for the details the prescription register keeps. It warns you about gaps and never blocks the sale.

  1. With the pharmacy setup applied, set the drug schedule to H1 on the medicine's item form
  2. Ring it up at the till or on an invoice, and the bill shows that a prescription drug is in the sale
  3. Choose Add prescription and enter the patient, and the prescriber's name and registration number
  4. Record the pharmacist who dispensed it, and attach a photo of the prescription if you have one
  5. Find the sale in the Schedule H register report, with any missing details marked, and download it as a CSV

Entering a distributor's bill

A weekly delivery arrives with the distributor's bill. The bill puts the stock in; batch and expiry are not read from it.

  1. Add the bill on the expense screen as a purchase from the distributor
  2. Enter the bill number, the bill date and the due date, and mark it unpaid
  3. Add each medicine as a stock line and choose the godown it goes into; stock goes up when you save
  4. See the unpaid bill, by age, in the payables view under Outstanding
  5. Mark the bill paid there when you settle it

Month-end GST with your CA

Your CA reviews the month inside the same workspace. Finocket prepares the returns; you or your CA file them.

  1. Invite your CA from Team with the accountant role
  2. Upload the GSTR-2B file from the GST portal and match it against your purchase bills
  3. Download the GSTR-1 files and the GSTR-3B summary prepared from your bills
  4. Give your CA the month's reports and PDFs as one ZIP from Hand to your CA
  5. File on the GST portal yourself, or let your CA file

Setting up the pharmacy bill

One step adds the medicine fields and the pharmacy layout. Your drug licence number is typed on each bill; it is not stored on your profile.

  1. On the items screen, choose Set up and pick Pharmacy & medical store
  2. MRP, salt or generic name and manufacturer are added to your items, and new items start as stock-tracked strips
  3. Batch and expiry are added to each bill line, and a drug licence number to the bill, all set to print
  4. Your bills switch to the Pharmacy & medical layout, with batch, expiry and MRP columns
  5. Type your drug licence number on a bill and it prints in the licence block

Counting opening stock by batch

When you start, enter the strips on your shelf batch by batch, so expiry dates are on file and the earliest-expiry pick has stock to work from.

  1. On the inventory screen, choose Add / adjust stock on a medicine
  2. Add a new batch with its batch number, expiry and MRP
  3. Enter the quantity on the shelf as an adjustment into stock, and pick the godown
  4. Repeat for each batch of that medicine you hold
  5. A bill line left without a batch then takes the earliest-expiring of these that has stock

Watching near-expiry stock

A list on the inventory screen, not a notification. Returning expired stock to the distributor is not built yet.

  1. Open the inventory screen
  2. The Expiring soon card lists each batch due to expire within ninety days, soonest first, with the quantity left
  3. Batches already past their expiry date are marked Expired at the top of the same list
  4. Sell the soonest batches first; a bill line left without a batch takes the earliest-expiring one
  5. Items at or below their reorder level are listed on the same screen

Closing the day with a Z-report

Cash, UPI and card are totalled for the till session, and your drawer count shows what is over or short.

  1. Open the till session with the cash float in the drawer
  2. Bill through the day by cash, UPI, card or credit
  3. Count the cash in the drawer and close the session
  4. Read the Z-report: the total for each payment mode and the cash over or short
  5. Print it for the day's file

Selling on credit to regular customers

A regular customer settles at the end of the month. The credit limit warns you; it does not stop the sale.

  1. Set a credit limit on the customer's account
  2. Bill on credit from the invoice screen; it warns you if this bill takes them over their limit, and you can still save it
  3. See what each customer owes, by age, under Outstanding
  4. Tap the WhatsApp button on a bill to send a reminder from your own phone
  5. Record the payment against their bills when they pay
