How a working day runs, step by step.

A family package, start to finish

An enquiry becomes an accepted estimate, an invoice with the trip details on it, and an advance and a balance recorded against one booking.

  1. Add the family as a client of type Family
  2. Make an estimate and share its accept link; they accept it online by typing their name
  3. Press Convert to invoice once they have accepted
  4. Fill destination, travel dates and pax in invoice fields you created on the Custom fields page
  5. Set the advance and balance due dates in the invoice's payment schedule
  6. Record each payment as it arrives

Package line next to a service fee

One invoice carries the tour package and the air-ticket service fee as separate lines, each with its own SAC and GST rate.

  1. Add Tour package and Air ticket service fee to your items, with the SAC your CA advises for each
  2. Put both lines on the invoice
  3. Check each line's GST rate with your CA before you save
  4. Share the invoice from its page: WhatsApp opens with the link, and you send it

Supplier bills against the booking

The hotel's bill and the DMC's bill are booked against the trip they belong to, and what you owe each supplier stays in one list.

  1. Add the hotel's bill as an expense under the hotel's name
  2. Pick the trip's project on the bill
  3. Note the booking reference in an expense field you created on the Custom fields page
  4. Mark the bill paid, or note what you have paid so far
  5. See what you owe each supplier on the Suppliers page

Overseas package with TCS on the receipt

The TCS on an overseas package is recorded on the payment itself. Finocket suggests an amount and you confirm or change it with your CA.

  1. Turn on Also a TCS collector in your business profile's TDS settings
  2. Invoice the overseas tour
  3. Record the customer's payment
  4. Switch on TCS and check the amount Finocket suggests against what you collected
  5. Download the quarter's 27EQ working for your CA from the TDS returns page

  1. Import the bank statement and match each line to a payment or an expense
  2. Review the GSTR-1 and GSTR-3B working on the GST returns page
  3. Invite your CA with the accountant role
  4. Your CA downloads the hand-to-CA bundle or a Tally file

A corporate travel desk billed monthly

A corporate client's monthly service-fee invoice is drafted on schedule for you to check and send.

  1. Raise the first month's service-fee invoice to the company
  2. Press Make recurring on it and keep the frequency at monthly
  3. Each month a draft invoice is made for you
  4. Check the draft, add that month's details and send it

A foreign agent billed in their currency

An inbound tour for an overseas agent is invoiced in the agent's currency, with the exchange rate kept on the invoice. The GST treatment is for your CA to advise.

  1. Add the agent as a client with their country
  2. Pick the agent's currency on the invoice
  3. Check the exchange rate the invoice will be booked at, or type the one your bank gave
  4. Record their payment when it reaches you
  5. The GSTR-1 working converts the invoice at its own stored rate

A cancelled trip and its credit note

A cancellation is reversed with a credit note raised from the original invoice, and the credit is used on the traveller's next booking. Recording a cash refund against it is not yet built.

  1. Open the trip's invoice and press Credit note
  2. Edit the draft to the lines and amounts you are reversing, and save it
  3. Apply its credit to the traveller's next invoice from the credit note's page
  4. The credit note appears in your GSTR-1 working

Every trip's money in one place

Receipts and supplier bills tagged to a trip show what came in, what went out and the difference. A trip-wise profit and loss from your invoices is not built yet.

  1. Create a project for the trip under the client
  2. Pick that project when you record each payment from the traveller
  3. Pick it on every supplier bill for the trip
  4. Read received, spent and the difference for each project on the Projects page
