Use cases
How a working day runs, step by step.
Walk-in consultation at the desk
A patient pays the consultation fee at reception and leaves with the bill on WhatsApp.
- Reception raises a bill with the consultation on it
- Records the payment: cash, UPI, bank transfer or cheque
- The bill shows as paid
- Shares it on WhatsApp, or downloads the PDF
A hospital pays your visiting fee net of TDS
A hospital pays your professional fee after deducting TDS, and your bill still closes in full.
- Record the receipt against the hospital's bill at the full fee
- Turn on Client deducted TDS and enter the amount deducted
- The form shows the net that reached your bank
- The TDS is kept as a receivable and listed on your TDS summary
- Read that list against your annual tax statement at year end
Bills an insurer or TPA settles later
Bills raised to an insurer, TPA or company stay on your outstanding list, by payer, until each is settled.
- Add each insurer, TPA or company as a client
- Raise the bill against the payer
- Unpaid bills wait on Outstanding, by payer and by age
- Record each settlement against its bill as it arrives
- A part-paid bill stays open for the balance
A package paid in parts
A procedure package is billed once and paid in instalments that settle in order.
- Raise one bill for the package
- Split it into an advance and the balance, or your own instalments with due dates
- Record each payment as the patient pays
- Each payment settles the oldest open instalment first
- The bill closes when the last instalment is paid
Close the day at reception
At closing time reception checks the day's collections against how they were paid.
- Open the day book for today
- Every bill, receipt and expense of the day is listed, naming cash or bank
- Open the cash book on the Cash tab and check it against the drawer
- Check the UPI tab against the UPI app
Month-end expenses without a shoebox
Supplier, lab and AMC bills are captured from a photo as they arrive.
- Photograph the bill on the expense screen
- Check the amount, date and supplier it read
- Pick the category and save
- Possible duplicate bills show on the exceptions report
Rent and equipment AMC on a schedule
Fixed costs like rent and maintenance contracts post on their own dates.
- Open recurring entries
- Add the rent as a monthly recurring expense with its category
- Add each AMC on its own cycle, monthly or yearly
- Each expense is posted when it falls due
- Pause a rule when a contract ends
Paying a visiting consultant with TDS deducted
When the clinic pays a visiting consultant, it records the TDS it deducted and the deposit that follows.
- Record the consultant's fee as an expense
- Turn on TDS, pick the section and enter the amount you deducted
- The deduction joins your TDS register
- Record the challan when you deposit the TDS
- Download the Form 16A data for the consultant
Filing time with your CA
Your CA gets read-only access and one bundle, instead of a WhatsApp thread of photos.
- Invite your CA from Team with the Accountant / CA role
- Your CA reads the books and cannot change them
- Open Hand to CA and pick the period
- Download one ZIP of bills, statements and reports
- Your CA works from your own books
