Use cases
How a working day runs, step by step.
Monthly fee bills drafted for you
The fee office sets up a monthly fee once per payer, and each month's bill is waiting as a draft to check and send.
- Open Recurring and add a bill rule for the parent or guardian who pays
- Add the fee line, choose monthly and pick the date of the first bill
- On that date Finocket drafts the bill and moves the rule to next month
- Check the draft and send it to the payer
- See what has been collected and what is still due in Outstanding
A course fee in instalments
A coaching centre bills registration, term one and term two on one bill, each with its own due date.
- Raise one bill for the whole course fee
- Open the bill and add a payment schedule with a label, amount and due date for each instalment
- Finocket checks that the instalments add up to the bill total
- Record each payment against the bill as it arrives
- Instalments are marked paid in order, oldest first, so the bill shows which one is next
Remind a parent about overdue fees
Before the next term starts, the accounts desk sees who is behind and sends each payer a reminder from their own WhatsApp.
- Open Outstanding to see each payer's dues grouped by how long they are overdue
- Tap the WhatsApp button on a payer's overdue bill
- WhatsApp opens with the reminder and a link to their dues filled in; you press send
- Record the cash, UPI or cheque payment against the bill when it comes in
- The bill drops off the overdue list once it is paid in full
One link for a parent's dues and statement
A parent asks what is still owed. You send one link that shows their bills and payments without them signing up for anything.
- Add your UPI ID to your business profile
- Open the payer's ledger and share their portal link, by copying it or on WhatsApp
- The payer opens the link and sees the balance due, open bills and recent payments
- Each open bill shows a UPI link and QR code for the exact amount still due
- The payer can download a statement of account for any period
- You record the payment when it reaches your bank, because the link does not record it for you
From website enquiry to admission
Enquiries from your website land in one pipeline with the parent or guardian as the contact, so follow-ups are not kept in a register at reception.
- Build an enquiry form in Forms and publish it
- Put the form's link on your website or share it with walk-in enquiries
- Each submission becomes a lead with a deal on your pipeline
- Set the next follow-up date and a note on the deal
- Move the deal through your stages and mark it won when the family enrols
Book a counselling visit or demo slot
Parents who want to visit pick a free time from your booking link instead of calling the front desk, one family per slot.
- Create a booking link with the visit length, the days and the hours you are free
- Share the link with families who have enquired
- The parent picks a free slot; a slot already taken cannot be booked again
- The booking is saved and the parent is added as a lead on your pipeline
- See upcoming visits on the same screen, and move or cancel one if plans change
Pay a visiting faculty member with TDS
An institute pays a guest lecturer a professional fee and keeps the TDS it deducted ready for the quarterly return.
- Record the lecturer's fee as an expense, with their PAN
- Turn on TDS for the expense and pick the section your CA advises
- Enter the TDS amount you deducted
- Record the challan when you deposit the TDS
- Check deducted against deposited for each quarter on the TDS screen
Credit the terms a leaving student will not attend
When a student leaves part-way through a course billed in instalments, the fee office credits the unused terms against the bill rather than editing the issued bill.
- Open the course-fee bill for that payer
- Raise a credit note from the bill, which starts as a copy of its lines
- Change the amount to the part of the fee being credited and save it
- Apply the credit note to the bill while it still has a balance due
- The bill shows the credit applied and the lower amount still owed
Hand the books to your CA
At quarter or year end, you give your CA a Tally file of the period instead of a folder of receipt books.
- Record fee bills, payments and expenses through the year
- Open Hand to CA under Reports
- Pick the period your CA asked for
- Download the Tally file of ledgers and vouchers
- Your CA imports it into TallyPrime
