Finocket for Pharma Distribution

Bill chemists with the batch, expiry and licence details on the memo

Finocket keeps your buyers' drug licence numbers, your medicine master with MRP and schedule, stock by godown and batch, and what every chemist owes you, in the same books your CA files GST from.

The problems we fix first

  1. Checking a chemist's drug licence before billing

Today: A photocopy of the 20B and 21B licence sits in a box file, and the billing clerk is meant to look it up before a new chemist's first order.

With Finocket: Keep both licence numbers and the retention-due date on the chemist's account, where the person billing sees them. Finocket does not yet block the sale; it puts the numbers in front of you.

  2. Writing batch and expiry on every memo line

Today: Batch numbers and expiry dates are copied from the carton by hand onto the bill or typed into a desktop billing screen.

With Finocket: Each invoice line has batch and expiry fields, and stock is held by batch, so the same batch you received is the one you bill.

  3. Expired stock found too late

Today: Someone walks the racks at month end and pulls short-dated cartons by eye.

With Finocket: Batches carry their expiry dates in stock, so short-dated batches can be found by date instead of by eye. Near-expiry alerts and automatic first-expiry-first-out picking are not built yet.

Built for

  • Pharma stockists and wholesalers supplying retail chemists
  • Carrying and forwarding (C&F) agents and super-stockists
  • Distributors supplying hospitals, nursing homes and clinics
  • Sub-stockists buying from a main distributor
  • Accountants and CAs who keep a pharma distributor's books

What you get

  • Buyer's drug licence on file

Keep each chemist's or hospital's 20B and 21B licence numbers and the licence retention-due date on their account, next to their GSTIN. Finocket stores these; it does not yet check them when you bill.

  • Batch and expiry on every line

Each invoice line carries a batch number and an expiry date, and the pharma bill layout has columns for batch, expiry and MRP. Printing a field on the bill is a setting you switch on for that field.

  • Medicine master

Record MRP, salt or generic name, manufacturer and pack size on each item, mark Schedule H, H1 or X, and sell in boxes or strips with the conversion set once.

  • Licence numbers on the memo

Put your own drug licence number and the buyer's licence number on the wholesale memo. Today the buyer's number is typed on the invoice; it is not copied from the account automatically.

  • Dispatch details

Add the e-way bill number, vehicle number and transporter to the bill, and a freight charge preset at SAC 996511 with its GST rate.

  • Customer type and credit days

Tag each buyer as retail chemist, sub-stockist, hospital, doctor or institution, and note the credit days you agreed. A credit limit on the account warns you on the invoice; it does not stop the sale.

  • Stock tracked in boxes

New items default to tracked stock in boxes, which maps to the BOX unit GSTR-1 expects, so HSN summary rows need no guessing.

  • Godown and accounts roles

Offer a warehouse-operator role to godown staff and an accountant role to your CA or accounts person. You choose who gets which; nothing is granted automatically.
