Use cases
How a working day runs, step by step.
Cost a saree from yarn through two stages
A mill builds one bill of materials per stage, yarn to grey and grey to finished. Each bill is costed from its own components, so the grey fabric on the finished bill is valued at its last purchase, opening rate or selling rate, not at the grey bill's cost; there is no automatic cost roll-up across both stages.
- Switch on Manufacturing under Settings, Modules & features
- Create the yarn, grey and finished items, with stock tracked on each
- Add a bill of materials for each stage: yarn to grey, and grey to finished
- Read the cost per metre on the grey bill and the cost per piece on the finished bill
- Each component shows the cost it used: last purchase, opening rate or selling rate
Book the process house's bill
A trader records the dyeing bill from the process house with TDS deducted. Linking the bill to the lot or challan it came back against is not yet built.
- Add Job-work challan no., Process and Metres processed as expense fields, once
- Open a new expense from the process house and fill them in
- Turn on TDS and pick 194C (new Act s.393(1) 6(i)) if your CA advises it; check the suggested amount
- The bill shows in your books and its TDS in the quarter's register on the TDS screen
- Record the challan when you deposit the TDS
Run a work order through its steps
A work order moves through the routing steps you set, such as warping, weaving and folding, and closes into finished stock.
- Switch on Manufacturing under Settings, Modules & features
- Add routing steps, such as warping, weaving and folding, to the quality's bill of materials
- Plan a work order for the quantity and start it
- Book each routing step as it is done
- Complete the work order to post the output to finished stock
See which work centre is the bottleneck
Compare load against capacity for looms, jet dyeing or stenter over the next seven days. It spreads each order's minutes evenly between its start and due dates; machine limits such as kilos per jet are not modelled.
- With Manufacturing switched on, add looms, jet dyeing and stenter as work centres
- On Capacity, set the minutes each one can run a day
- Give open work orders a start and due date
- Read the next seven days' load for each work centre
- Spot the one flagged as overloaded and its first free day
Check a trader's credit before billing
Before an invoice is raised to a trader, the invoice form warns if it takes them past their credit limit. The warning advises; you can still save the invoice.
- Set a credit limit on the trader
- Add Lot no., Shade and Roll no. as invoice line fields, once
- Start an invoice to the trader and fill them in on each line
- See the warning if open dues plus this invoice cross the limit
- Save the invoice and share it from the invoice
Turn yarn into grey in a production run
Record what the looms made. The run takes the yarn out of stock and puts the grey fabric in, at the quantities the bill of materials sets. Process loss is not a separate line.
- Switch on Manufacturing under Settings, Modules & features
- On Production, pick the grey stage's bill of materials
- Enter the metres produced and the run date
- The run draws the yarn down and adds the grey fabric to stock
- See both movements in the stock ledger on Inventory
Send grey fabric to a process house on a challan
The challan is the paper that travels with the goods, and it is not counted as a sale in GSTR-1; a stock transfer moves the fabric. The e-way bill JSON carries the sub-type Others, and a per-process-house balance that reconciles what came back is not yet built.
- Add a godown for the process house on Inventory
- Raise a delivery challan to the process house for the grey lots
- Where the consignment needs an e-way bill, download its JSON from the challan and upload it on the portal
- Transfer the grey to the process house's godown; the challan alone does not move stock
- See the grey held at that godown on Inventory
Pay a market agent's brokerage with TDS
Book the agent's brokerage as an expense with TDS under the commission and brokerage section. Working out each agent's commission from the invoices they brought in is not yet available.
- Open a new expense for the agent's brokerage, with the agent's PAN
- Turn on TDS and pick the commission and brokerage section
- Check the suggested amount at the rate your CA confirms
- The deduction joins the quarter's register on the TDS screen
- Record the challan when you deposit the TDS
Re-cost the saree when yarn gets dearer
Each bill of materials costs its components at their last purchase price, so a dearer yarn bill shows in the grey fabric's cost per metre. The finished saree's bill does not move with it, because there is no automatic cost roll-up across both stages.
- Record the yarn supplier's bill with item lines at the new rate
- The bill brings the yarn into stock at that rate
- Open the grey fabric's bill of materials on Manufacturing
- The yarn shows its last purchase as the basis of its cost
- Read the new cost per metre on the grey bill
