How a working day runs, step by step.

Bill a pair of spectacles to a prescription

The till keeps the powers the lenses were cut to on the bill, so a complaint or a re-order starts from the right numbers.

  1. Scan the frame and lenses at the till by barcode
  2. Pick the customer, then open Bill details
  3. Enter SPH, CYL, axis and ADD for each eye, and the PD
  4. Add who prescribed it, the Rx date and the delivery date
  5. Take payment by cash, UPI or card, or split it across them
  6. Print the slip for the customer

Reuse a repeat customer's last prescription

On a new bill, Finocket offers the customer's newest prescription from their earlier bills, and from saved Eye prescription records once that record type is set up on your workspace.

  1. Start a new bill and pick the customer
  2. Read the Last prescription panel on the bill
  3. Use Choose a prescription if you want an earlier one
  4. Tap Use this prescription to copy it into the bill
  5. Only empty fields are filled; anything you already typed is kept

Keep track of pairs still to hand over

Each bill carries an Order status and a Delivery date that you set; this is not a separate lab job, and no message goes to the customer.

  1. Save the order as a draft bill with its delivery date
  2. Set its Order status to Ordered, then At the lab
  3. See every pair not yet Collected on the Invoices screen, soonest first
  4. Spot pairs marked overdue or due today
  5. Use Update status to mark a pair Ready, then Collected
  6. Call the customer yourself when the pair is ready

Call customers whose eye test is due

Note the next eye test date on a bill, and the counter gets a call list; automatic recall messages are not sent yet.

  1. Fill in Next eye test due on the customer's bill
  2. Open the Eye tests due list on the Invoices screen
  3. See one line per customer whose test is recently overdue or coming up soon
  4. A customer billed again since is left off the list
  5. Tap the phone number to call them

Keep frames and lenses in your catalogue

Each frame, lens or contact lens is an item with the optical details your counter asks about.

  1. Add the item and choose its Optical category
  2. Note its brand, frame size, lens index and coatings
  3. Enter its MRP and selling price
  4. Give it a barcode so the till finds it when scanned
  5. Stock goes down as each piece is billed

Bill sunglasses and spectacles on one bill

Corrective eyewear and fashion sunglasses can carry different GST rates; each line takes the rate set on its own item.

  1. Set the HSN code and GST rate on each item
  2. Confirm the current rate for each product with your CA
  3. Add the spectacles and the sunglasses to one bill
  4. Each line carries its own item's rate
  5. The bill shows tax by rate for your GST return

Buy from frame distributors and lens labs

Purchases and what you owe each supplier stay in the same books as your sales.

  1. Add the distributor or lens lab as a supplier
  2. Open the supplier and choose Record purchase bill
  3. Add the frames and lenses with quantity and cost; stocked items add stock
  4. Note what you have paid so far, or mark the bill paid
  5. See what you still owe each supplier on the Suppliers screen

Reward repeat customers

Loyalty points build on every bill to a named customer and can be spent at the till.

  1. Set how many points a bill earns and what a point is worth
  2. Bill a named customer; points are added when the bill is saved
  3. Pick the customer at the till to see their points balance
  4. Pay part of the next pair with points as one of the tenders

Open a second shop

Run both counters on one login and see each shop's sales; a shop beyond your plan's one is an add-on.

  1. Add the new shop on the Shops screen
  2. Copy your first shop's tills and bill numbering onto it
  3. Invite staff under Team, then post each person to their shop
  4. Bill each shop's sales from its own till
  5. Compare each shop's sales per month on the Business health report

Prepare GST returns and hand the year to your CA

GST returns are prepared from the same bills, and your CA works in the same books.

  1. Pick the month on GST returns and download the GSTR-1 file
  2. Read the GSTR-3B summary of tax and credit for the month
  3. Invite your CA to the workspace as a read-only accountant
  4. Download the Hand to CA bundle, with a Tally file if they use Tally
  5. File the returns on the GST portal yourself or through your CA
