How a working day runs, step by step.

From enquiry to an accepted estimate

Put the customer's specification on the estimate lines and send the accept link; the customer reads the estimate online and accepts by typing their name.

  1. The customer sends size, GSM, colours, quantity and finishing on WhatsApp or by phone
  2. Raise an estimate with the specification on each line
  3. Tap Share accept link; the link is copied and the estimate is marked sent
  4. Paste the link into WhatsApp or an email to the customer
  5. The customer opens it and accepts by typing their full name
  6. The estimate shows who accepted it

Bill a job with its specification

Turn the accepted estimate into an invoice that prints the per-line specification with the HSN or SAC your item carries, and keeps the job number and delivery date on the invoice record. The fields come with the printing setup, and you can add your own at Custom fields.

  1. Approve the printing setup when Finocket proposes it at sign-up: it adds Job no. and Delivery date as invoice fields, and Material, GSM, Finished size, Colours and Finishing as line fields, with the five line fields printing under each line of the bill
  2. Fill them in on the estimate before you send it
  3. Once the customer accepts, convert the estimate to an invoice in one click
  4. The draft invoice carries the lines and the field values from the estimate
  5. Check the HSN or SAC on each line, then mark it as sent; the sale posts to your books then

A job on the customer's own paper

Record that the customer supplied the paper, so your CA can decide how the job is treated for GST. Finocket records the fact; it never chooses the classification or the rate.

  1. The same printing setup adds Paper supplied by to every invoice, with Printer and Customer as its choices
  2. Set it to Customer on the job's estimate or invoice
  3. Bill the printing charge with the HSN or SAC and the rate your CA has confirmed
  4. Return the leftover paper on a delivery challan
  5. The challan is not counted as a sale in GSTR-1, and it does not move your stock

Send sheets out for binding or lamination

Move printed sheets to a binder or laminator under a delivery challan, then book their bill with TDS on the expense. The challan's e-way bill JSON carries the sub-type Others; a job-work sub-type is not yet set from the challan.

  1. Raise a delivery challan to the binder or laminator for the printed sheets
  2. Where the consignment needs an e-way bill, download its JSON from the challan
  3. Upload the JSON on the e-way bill portal
  4. Book the binder's or laminator's bill as an expense, turn on TDS and pick the contract-work section
  5. The deduction joins the quarter's register on the TDS screen

Month end with your CA

Your CA works in the same books. Finocket prepares GSTR-1 and the GSTR-3B summary from the invoices and bills you recorded; filing stays with you or your CA.

  1. Invite your CA from Team with the accountant role
  2. Your CA reads the month's invoices, expenses and stock
  3. Open GST returns and prepare GSTR-1 and the GSTR-3B summary for the month
  4. Download the GSTR-1 files for your CA, or file on the portal yourself

A trackable QR on a customer's collateral

Print a dynamic QR code on a brochure or standee and point it somewhere new later without reprinting. The code belongs to your workspace, not to your customer's.

  1. Switch on QR & tracking under Settings, Modules & features
  2. Create a dynamic QR code with the link it should open
  3. Download it as PNG or SVG and place it on the artwork before plating
  4. Change where it points after the job has shipped
  5. See the scans, by device, against the code

The customer paid less because of TDS

A corporate customer deducted TDS from your bill. Record the deduction with the payment, so the invoice closes and the TDS sits as a receivable.

  1. Record the payment against the invoice at the full invoice amount
  2. Turn on TDS and pick the section the customer deducted under
  3. Check the suggested amount; the rate is yours to confirm
  4. The invoice closes as paid and the TDS is kept as receivable
  5. See the year's total by customer and section in the TDS summary

Repeat order from a past job

Start a new invoice from a past one, with the same lines, line fields and layout, instead of retyping the specification.

  1. Open the invoice for the past job
  2. Tap Duplicate; a new draft opens, dated today
  3. The lines, the field values and the layout come across
  4. Change the quantity, the rate or the delivery date for this run
  5. Save it, check it and mark it as sent

See which press is the bottleneck

A planning view of each press and finishing machine from your open work orders. It spreads each order's minutes evenly between its start and due dates; it is not a press scheduler, and make-ready time is not modelled.

  1. Switch on Manufacturing under Settings, Modules & features
  2. Add each press, folder and cutter as a work centre
  3. Give a standard product, such as a four-colour brochure, a bill of materials with its press and finishing steps and their minutes
  4. Plan work orders for it with a start and due date
  5. On Capacity, set the minutes each work centre can run a day
  6. Read the next seven days' load, the machine flagged as overloaded and its first free day
