Use cases
How a working day runs, step by step.
Number your racks and bins
Each godown gets its own bins, coded the way the floor is laid out, and the bins screen shows how much each bin holds.
- Add each godown on the inventory screen, typing its GSTIN as you add it if it has one
- Open Bins and add a bin to a godown: a code, a name and a kind such as rack, shelf, staging or returns
- Add a new product with its opening stock, and choose the godown and the bin it sits in
- Read how much each bin holds on the bins screen
- Close a bin you no longer use, and reopen it if you need it again
Receive an inward truck against the purchase order
The goods receipt is recorded against the purchase order and matched with the supplier's bill. Put-away to a suggested bin is not yet reachable from this receipt, because the receipt screen does not ask which godown the goods went into.
- Raise the purchase order to the supplier from the orders screen
- When the truck arrives, open the order's three-way match and record how many of each line came in
- Enter how many you reject and the reason code; the rest count as accepted
- Scan the supplier's bill from the same screen, check what it read and save it against the order
- Read each line as matched, partial or an exception, with the reason
- Place the received stock in its godown from the inventory screen, under stock not in any godown
Load inward freight onto item cost
Freight, duty or clearing charges typed on the purchase bill are spread across the bill's stock lines, by value or by quantity, and the goods go into the godown you received them in.
- Record the supplier's bill as a purchase, with a line for each stocked item
- Choose the godown the goods were received into
- Type the freight or handling amount in the landed cost section
- Spread it by value or by quantity, and check each line's share before you save
- Open the item's cost layers on the inventory screen to see the freight entry it carries
Pick, pack and dispatch an order
A released pick list holds the stock it names, the picker confirms each line or records why it fell short, and the packing desk weighs and dispatches. You raise the tax invoice for the order yourself, and the invoice is what takes the stock out of your books.
- Make a pick list for a godown: what it is for, and each item with its quantity
- Release it, so the stock on the list is held for this order
- Pick each line, or record a short pick with a reason such as damaged or expired
- Finish the list, and open a package for it on the packing screen
- Record the package weight, print the packing slip and dispatch it
- Raise the tax invoice for the order
Download the e-way bill JSON for a consignment
The e-way bill file is built from the invoice or delivery challan and checked before you download it. You upload it on the e-way bill portal yourself; Finocket does not file it there.
- Raise the tax invoice, or a delivery challan when goods move without a sale
- Open it and choose E-way bill (JSON); the button shows once your GSTIN is set and the value reaches the e-way bill limit
- Type the road distance, or leave it blank for the portal to work out, and the vehicle number
- Fix anything it lists as missing, such as an HSN code, a PIN or a valid vehicle number
- Download the file and upload it on the e-way bill portal
Move stock between godowns
Stock leaves one godown when the transfer is sent and stays in transit until the other godown receives it, carried at the sending godown's average cost.
- Open Transfers and draft one: the sending godown, the receiving godown, the item and the quantity
- Send it when the goods leave; the stock comes off the sending godown
- Read the transfers list to see what is still in transit
- Receive it at the other godown when the truck arrives; the stock is added there
See when a transfer crosses a state line
When both godowns carry a GSTIN, the transfer dialog says before you save whether the move crosses into another state. Finocket records the stock movement only; you raise any tax invoice yourself, as your CA advises. A godown's GSTIN is typed when you add it; changing it later is not yet available.
- Type each godown's GSTIN when you add it on the inventory screen
- Open Transfer on the inventory screen and choose the product and the two godowns
- Read the note that shows when the move crosses a state line, or when a godown has no GSTIN to tell
- Save the transfer; the stock moves from one godown to the other on the date you give
- For a move across a state line, raise the tax invoice yourself; none is created from the transfer
Count the floor and correct book stock
A count is scanned line by line against book stock, and finishing it posts an adjustment for every line that differs. The count covers the whole business; a count for one godown or one rack is not yet on this screen.
- Open Count from the inventory screen
- Scan each product's barcode with a scanner, or type its SKU or name
- Type the quantity on the shelf; each line shows its difference from book stock
- Remove a mis-scan before you finish; nothing is saved until then
- Finish the count; an adjustment is posted for each line that differs
Receive a return into the returns bay
Goods that come back are received against the bill they were sold on, inspected line by line, and posted as a credit note. Only items put back on the shelf return to stock.
- Receive the return: how it came back, the godown, and the bill number it was sold on
- Add each item from that bill with its condition and a reason code
- Choose what happens to it: back on the shelf in a bin you pick, such as a returns bay, or scrap, or repair
- Mark the receipt inspected
- Post it; Finocket issues the credit note against the bill
Deduct TDS on a transporter's freight bill
The deduction is recorded on the transporter's bill and shows on the TDS screen against what you deposit. A transporter's declaration for being paid without deduction is not captured yet; ask your CA how to treat one.
- Record the transporter's bill as a purchase, with their PAN
- Tick that you deducted TDS, then choose the contract section and the deductee type
- Check the year-to-date total for that PAN and the suggested amount, or type the amount your CA advises
- Read the net you pay after the deduction, then save
- Record the challan when you deposit the tax, and read deducted against deposited on the TDS screen
