Your invoices, quotations, receipts and challans are printed from a template: the layout, the colours, the columns in the item table, the words on the headings and the blocks that follow the totals. Finocket ships thirteen of them — three general looks and ten built for the trades it serves — and every one is shown as a live preview with your own business name and logo, so you choose from what you will actually send.

See a template full size before you pick it
The cards are small — enough to tell four layouts apart, not enough to read one. Tap the eye on any card to open it full size, with your own business name and logo on it, and step to the next template without closing. What you see is what prints: the preview is drawn by the same engine as the real document.
Which template is for me?
- Classic, Modern, Compact — general looks for any business. Classic is the layout every workspace started with.
- Bill of material — windows, doors, glass, kitchens, furniture, signage, flooring. A cover letter, a picture per line, width × height worked out to square feet, a rate per square foot, transport as its own line and the terms on their own pages.
- Retail bill — shops. Tight, with MRP and savings, a UPI QR and a thank-you line; prints on A4 or an 80 mm roll.
- Professional services — CAs, consultants, agencies, IT, lawyers, clinics, freelancers. SAC codes, hours, bank details first and a TDS note.
- Jewellery — weight in grams, purity, rate per gram and HUID, with making charges as a separate line.
- Distributor & trader — a dense table with taxable value and every GST head, plus e-way bill, vehicle and transporter in the header.
- Pharmacy & medical — batch, expiry and MRP on every line, drug licence in the header, the Schedule H note in the footer.
- Works contract — measurements by area, length or volume with a rate per unit, site and work-order references, and both signatures.
- Export & commercial — HS codes, the exchange rate, INCOTERM, ports, IEC and SWIFT bank lines.
- Quotation & proposal — a cover letter, scope and pricing, validity, and an acceptance block for the customer to sign.
- Restaurant & hospitality — a short bill with table or room references, service charge as its own line, and a UPI QR.
How do I choose and tune one?
- Open Settings → Document templates. Filter the cards by trade if you like.
- Tap a card. The customiser opens with the template on the right and its controls on the left.
- Under Look, set the accent colour (your brand colour works — pick any), the header style, the logo position and size, the paper size, and what the letterhead shows (tagline, website, GSTIN).
- Under Columns, switch item-table columns on or off — including your own custom fields — and choose whether item pictures, the catalogue description and the measure note print under each line.
- Under Sections, decide what follows the items: a charges section, amount in words, e-invoice QR, payment details, a signature block, notes, and whether the terms print after the totals or on their own page. Totals can show basic value → discount → final value, and GST as one line or by head.
- Under Words, rename anything: call an estimate a Quotation, the item table a Bill of material, the rate a Unit price.
- Under Cover, write the letter your quotations open with and add your clients' logos.
- Tap Use this template. New invoices and quotations, the print preview and the PDF a customer receives all use it.
What the screen refuses to do
- It never rewrites an invoice you already sent. An invoice on the Classic template with nothing customised prints exactly as it did before this screen existed. Your changes apply to what prints from now on.
- It never prints a column every line would leave blank. A size column appears only on measured lines, an image column only when an item has a picture, and the HSN and GST columns follow the document's tax treatment — a bill of supply or an export invoice never grows GST heads.
- It never prints a custom field you have not marked show on PDF under Custom fields.
Rich-text terms, notes and the cover letter
Terms & conditions, notes and the cover letter are written in an editor with headings, bold and italic text, bullet and numbered lists — so a four-page set of terms reads as numbered clauses rather than one block of text. The defaults live under Settings → Invoice defaults; each invoice can still edit its own copy. Everything you type is printed the same way on screen, on paper and in the PDF.
Signature, tagline and website
Upload an authorised-signatory image and add a tagline and website under Settings → Business details. Templates that show a signature block print the image above the signatory line; the tagline and website appear in the letterhead when the template's Look settings turn them on.
Custom fields a template expects
Some templates print fields Finocket does not have by default — batch and expiry for a pharmacy, purity and HUID for a jeweller, location and remarks for a fabricator, INCOTERM and IEC for an exporter. Set up recommended fields on the customiser creates the ones you do not have yet, already marked to show on the PDF. They then appear on the item form, the invoice form and the document.
One invoice, a different template
The invoice form has its own template row. Leave it on the workspace default or pick another for that one document — a proposal template for a big quotation, the retail bill for a counter sale.
Document options goes further for one document: switch a section on or off (the cover page, the bank block, the signature, notes, terms on their own page) and rewrite its words (call an estimate a Quotation, call the items aScope of work) without touching your workspace defaults. It sits under the template picker on the form and in the card under the totals on the invoice screen, and it is allowed after an invoice is issued, because it changes no amount, rate, tax, date or party.
What you say when you send it
The words on the document were always yours; the words in the email and the WhatsApp message carrying it were not. Under Settings → Invoice defaults, “What you say when you send it” sets the email subject and message, the reminder subject and message, the WhatsApp text and the PDF’s filename. Leave a field blank and it keeps the standard wording.
Write plain text and use {{number}}, {{business}}, {{client}}, {{total}}, {{due_date}}, {{document}} and {{link}} — each is filled in as it is sent, and {{document}} uses your own word for the document, so a quotation is never called an invoice. The greeting, the download link and the sign-off stay ours, so nothing you type can break the layout of a customer’s email.
If your workspace has a display name under branding, that is the name the email introduces you by — the same name the document prints.
Where the document shows
The invoice screen, the print preview, the PDF, the hosted estimate a client opens from an accept link and the pay block on the client portal all read the same document through the same rules — the template, the customisation, this document's own options. A word you change in Settings changes on every one of them; there is no second drawing to fall out of step.
