Transport: lorry receipts, vehicles and trip P&L

Draft and issue a lorry receipt, change the vehicle after issue without rewriting it, keep your vehicles, and put receipts, freight invoices and expenses on a trip to see what it made. Only when the warehousing and logistics pack is switched on.

The Transport screen keeps the paperwork for the goods you move by road: the lorry receipt for each consignment, the vehicles that carry them, and the trips those vehicles make. A trip can carry its lorry receipts, the invoices you billed for the freight and the expenses the run cost you, and then shows what it made.

Where to find it

Open Warehouse and tap Transport. The screen has three cards: Lorry receipts, Vehicles and Trips.

Draft, edit and issue a lorry receipt

  1. Save a draft

At the foot of Lorry receipts, fill in the Series, LR number, LR date, Packages, Consignor, Consignee, From and To. Choose the Freight terms: Paid, To pay or To be billed. Add the Vehicle number and the E-way bill numbers (separate several with commas or spaces) if you have them. Tap Save draft.
  2. Link the invoice and the weights

On the same form, Invoice links the receipt to one of your issued invoices, or leave it at No invoice. Actual weight (kg) is what the goods weigh; Charged weight (kg) is what you bill freight on. Both take kilograms with up to three decimals. Expected delivery is the date you promised, where it is shown.
  3. Edit while it is a draft

On a receipt marked Draft, tap Edit. Every field opens with its current value, including the invoice, both weights and the expected delivery date. Change what you need and tap Save changes, or Close to leave it as it was. The row then shows Invoice with its number, the actual and charged weight in kg and the expected delivery date.
  4. Issue it

Tap Issue. Issuing checks that the required fields are filled in, and that a receipt carrying an e-way bill number also has a vehicle number, because a road e-way bill needs one. If a check fails, the receipt stays a draft and the screen says why.

An issued receipt has no Edit. It can only be cancelled, or have its vehicle changed (below). Cancel works on a draft or an issued receipt and changes only its status; the receipt stays on the list. Printing a lorry receipt is not available yet.

Changing the vehicle after issue

Goods are often moved to another lorry on the way. On an issued receipt, tap Change vehicle, enter the new Vehicle number and the Reason, and tap Save vehicle change. The receipt itself is never rewritten: the change is added as a new record beside it.

The row then shows the vehicle now carrying the goods, and a line such as Vehicle changed from the first vehicle, with how many changes there have been. Under it, each change is listed with its date, the old and new vehicle and the reason. If the history cannot be read, the row says the vehicle shown may not be the current one.

Vehicles

On Vehicles, add each lorry with its Vehicle number and Ownership (Own or Hired), then tap Add vehicle. A vehicle you no longer use is archived, never deleted, because trips and receipts refer to it. Archive hides it from new trips; Restore brings it back.

Trips: what rode on them and what they made

  1. Start and end a trip

On Trips, choose the vehicle, set Started on and tap Start trip. The trip shows as open until you tap End trip today on the day the vehicle is back.
  2. Put the lorry receipts on it

Tap P&L and links on the trip. Under Attach a lorry receipt, choose one and tap Attach receipt. Cancelled receipts are not offered. Each receipt on the trip has its own Remove, and the trip row lists the receipts it carries.
  3. Attach the invoices and expenses

In the same panel, Attach an invoice and Attach an expense offer your issued invoices and your expenses that are not already on a trip. Tap Attach invoice or Attach expense; Remove takes one off again. The lists are under Invoices on this trip and Expenses on this trip.

Reading the trip P&L

  • Freight revenue. The value before GST of the invoices on the trip, in rupees. Drafts and cancelled invoices are not counted.
  • Cost. The expenses on the trip, less the GST you can claim back on them. Where the GST cannot be claimed, it stays in the cost.
  • Margin. Freight revenue less cost.
  • Cost by type. The cost split by the expense's fleet expense type, such as Diesel, Toll / FASTag, Driver advance, Loading / unloading, Repairs, Tyres or Permit / road tax. An expense with no type counts as Other.

An invoice in a foreign currency that has no exchange rate cannot be turned into rupees, so it is left out of freight revenue and the trip says how many were left out. Once the invoice has an exchange rate, it is counted. If some linked documents could not be read, the trip says the totals may be low.
